Batches into the engine

How a prospecting batch becomes sends: the gates a record passes, the tags that show where it is, the caps per channel, the send schedule, and what the outreach workflow must do once it is built.

Where the batch stands

The niche-1 batch is connected to the engine as data: every record is tagged with its batch and its gate. It is held at the Day 0 gate, so nothing sends.

In the sheet4743 sendable, 4 on hold
In Client Zero3937 sendable, 2 on hold
At the Day 0 gate37ae: gate-day0-pending
Ready to send0ae: gate-ready

Sent0any channel

Done on 11 Oct. All 39 records got ae: batch-2026-09-niche-1. The 37 sendable records got ae: gate-day0-pending. The 2 holds keep ae: hold and no gate tag. Every record is still DND, as imported.

8 sheet records are not in Client Zero. 6 are tier C (3 in wave 3 and 3 WhatsApp-first) and 2 are holds. Load the 6 only if they still pass the gates after Day 0; the 2 holds stay out until the sheet note on each is resolved.

The entry gates

A record enters the engine only when all six are true. The same rules are in the knowledge base so the agent applies them too.

The tag lifecycle

A record carries exactly one of pending, ready, in-sequence, replied or closed at a time. The batch tag stays for good, so results can be read per batch.

Caps per channel

The left column is what applies today. The right is the ceiling once the outreach domain is warm and the agent is signed off. Values live in Client Zero as Cap custom values.

Domains. kyntlo.ai is the brand and never sends. kyntlo.com is for human replies. msg.kyntlo.com is marketing to people who opted in, and is in warm-up. Cold outreach from the agent goes from a separate outreach domain, warmed for 5 weeks first.

Every email. One-click unsubscribe, replies routed to a human on kyntlo.com, plain text as in the A06 templates. Move DMARC from none to quarantine after 30 clean days.

Re-dated from the sheet

The send schedule

The sheet's Send schedule tab still shows September dates that have passed. This is the same plan moved to the earliest dates if Day 0 runs on Tuesday 13 Oct. If Day 0 moves, every date moves with it.

Earliest dateWhat goes outVolumeGate before it runs
Tue 13 OctDay 0: submit every form on the timing log43 formsNone. This is first

Over the phase 0 cap? Sun 25 Oct puts 25 emails on one day, over the 15 cap. Split it: wave 1 email 3 on Sunday, wave 2 email 1 on Monday 26 Oct.

Feeding the engine

Batch size per phase

At about 38 percent from scraped to sequence, this is how many records each phase needs. A batch is ordered on Sunday when ready records will run out within 2 weeks.

PhaseNew sequences / dayReady records / weekScraped / week
0 · Manual bridgewave days37This batch; runs out after wave 3, around 1 Nov
1 · week 1840105

2 · Full run27135355

The next batch is needed before the agent is. Niche 1 has 37 sendable records in Client Zero. Once wave 3 goes, there is nothing left to send. The next niche-1 or niche-2 batch should be scraped and scored in October so Day 0 can run on it before November.

What the outreach workflow must do

Workflows cannot be created through the connection used here, so this is the spec for Boush and Keroles to build in Kyntlo. Ahmed signs it off before it sends.

  1. Trigger. Tag ae: gate-ready added, on a send day, inside the Send Window.
  2. Daily counter. Before each send, compare today's count for that inbox with Cap Email Per Inbox Per Day. At the cap, wait until the next send day.
  3. Steps. Day 1 email 1, day 3 WhatsApp 1, day 4 email 2, day 6 Instagram DM task, day 8 email 3, day 12 WhatsApp 2, day 15 email 4, day 18 new angle, day 21 email 5. The 8 A06 email templates are already in the folder A06 · Cold outreach · niche 1; the WhatsApp and DM texts are on the cold outreach playbook page.
  4. Stop on reply. Any reply on any channel removes the record from the workflow, adds ae: replied, and notifies Ahmed.
  5. Bounce halt. When bounces for an inbox pass Cap Bounce Halt Percent in a day, pause that inbox until the next day and notify Ahmed and Boush.
  6. Unsubscribe. Suppress for good and tag ae: closed.
  7. Close. Day 21 with no reply: tag ae: closed, set Last Contact Date, and leave the record for the 90-day re-score.
  8. Log. Every send writes the date to the matching column of the Sequence tracker, so the Sunday review reads one place.
Hard lines

What the engine never does

Sends to a record with ae: gate-day0-pending or ae: hold.

Sends from kyntlo.ai, kyntlo.com or msg.kyntlo.com.

Opens a WhatsApp conversation with someone who has not had email 1.

Sends outside Sunday to Thursday, 9am to 9pm Gulf time, or in the first week of Ramadan.

Crosses a cap to hit a quota.

Keeps sending after a reply, a bounce or an unsubscribe.
